Frame Bin Assignment Before Order Entry

Introduction

This document provides instructions for assigning a frame to a bin before order entry.

Procedure

From the Optifacts main menu:

Select Option 7 - Tray Track and press Enter.

Select Option 17 - Frame to Come Lookup and press Enter.

The Frame to Come Lookup screen displays.

Assigning a Frame Bin Location

  • Press “A” and Enter to add a new record.
  • Enter the account number. Press Enter or type the first few letters of the account name to view the Account Lookup window if you do not know the account number.

  • Press Escape and enter the account number in the Enter Account Number field.
  • Enter the patient’s name. If the duplicate patient name trigger check is enabled, it will warn you.

Has the frame arrived already?

  • Enter “Y” if Yes or “N” if No.
  • Enter “Y” only if the frame has arrived. If yes, it will be marked with an “F” in the lookup screen after the bin number.
  • If Auto Tray Assignment is not enabled, it will also prompt for a tray number.

If the tray number is still in use, it will prompt for a new tray number.

After entering and validating the information, the Tray number and Frame bin get assigned. The message is the same whether the frame has arrived or not.

If your lab is utilizing the “Auto Tray Number” assignment feature, the tray number will be assigned based on the configuration. For example, if you use tray number ranges based on job specifics, it will know to use the range for edged jobs because the job has a frame. 

  • Press Enter to continue.

Frame Bin Label Example

  • Barcode - Trace 99 barcode
  • 9784 - Tray Number
  • 31 - Bin Number
  • 2011-03-31 - Date
  • Test Lori - Patient Name

Frame NOT Received with the RX order - the frame bin label prints and can be attached to the RX so that the RX Order Entry person knows what tray number to use when inputting the RX.

Frame Received with the RX order - 2 frame bin labels print. One can be attached to the RX so that the RX Order Entry person knows what tray number to use when inputting the RX. The other gets attached to the frame package. Depending on the lab procedures, the frame may get sent to the tracer before being placed into the specified frame bin and held until the lenses are ready for edging. Or, perhaps the frame is held in the bin until after order entry. The program can accommodate the process no matter what routine the lab has.

  • Submit the tray to Order Entry for completion of the RX entry process.

RX Order Entry

At Order Entry, the user enters the tray number indicated on the frame bin label. Then, they see the “Information from Tray-up” message on the screen, as shown in the following diagram.
