Introduction
This document provides instructions for reconciling parts inventory to the physical parts count.
Procedure
Clear Inventory Forms
From the Optifacts Main Menu:
Select Option 12 – Frame Parts Inventory and press Enter.
Select Option 3 – Cycle Counts and press Enter.
Select Option 1 – Clear Inventory Forms and press Enter.
- Clear Forms or Parts? (Y/N) – Press “F” for frame or “P” for parts and press Enter to continue.
- Enter the Warehouse Number if applicable and press Enter. This option only shows up if your system uses multiple store numbers (warehouse numbers).
- O.K. to continue? (Y/N) - Press “Y” to continue or “N” to return to the menu.
The following messages display, “File is Being Cleared” and “File is Finished.”
- Press any key to continue.
Physical Inventory Forms
Select Option 2 - Physical Inventory forms from the Physical Inventory menu and press Enter.
- Press “P” and press Enter to continue.
- Enter the Bin Start or use the asterisk wildcard (*) for all.
- Enter the Bin End or use the asterisk wildcard (*) for all.
- Order by bin location? Enter “Y” for yes or “N” for no.
- Enter the Warehouse number if applicable.
- The system searches for the specified bins.
- Has the data been printed correctly? Enter “Y” for yes or “N” for no.
- Store the entries into the physical inventory file? Enter “Y” for yes or “N” for no.
- Press Escape, to exit.
Physical Count
- Take the forms and do the physical counts of your parts.
Physical Inventory Entry
Select Option 3 - Physical Inventory Entry from the Physical Inventory menu and press Enter.
- Enter “F” for Frames or “P” for parts.
- Enter the warehouse number if applicable.
- Enter the page number.
- Enter or scan the SKU number. The part information populates on the screen.
- Counted – Enter the amount you physically counted and press enter.
- After you have entered all of the counts, press Escape exit the screen.
Physical Count Variance
Select Option 4 – Physical Count Variance from the Frame Parts Inventory menu and press Enter.
- Output to screen only? – Enter “Y” for yes or “N” for no.
- Report on Frame or Parts – Enter “F” for frame or “P” for parts.
- Enter the Warehouse number if applicable.
The report displays on-screen or prints depending on your selection.
- Follow the prompt: “Printing is complete. Touch return to continue.”
Update from Physical Form
Select Option 5 – Update from Physical Form from the Physical Inventory menu and press Enter.
- Update Frame or Parts? - Press “F” for frame or “P” for parts.
- Enter the Warehouse number if applicable.
- Would you like to continue this procedure? – Enter “Y” to proceed or “N” to return to the menu.
- Follow the prompt: “Update complete. Touch a key to continue.”
- Press ESC to return to the main menu.
