Rx-Workstations: Breakage Entry

 


Important

Rx-Universe 7.56.00 and Rx-Xplore 1.4.0 are required to use all the features/funtions of this workstation.

Limitations and Other Business Rules

  • You cannot submit a breakage for invalid orders.

  • You cannot submit a breakage for completed orders.

  • If a lens / frame item is not lab supplied, inventory is not updated but the breakage will be saved in the database and is reportable.

Overview

This workstation allows users in your lab with appropriate access/permissions to enter a breakage or reverse a breakage to applicable orders in Rx-Universe. The breakage entries are stored in the local database and will be reportable in Rx-Reports using the new Workstations - Breakages report target.

You will be required to enter a reason code for the breakage. And depending on your Rx-Universe settings, you can also enter sub-codes for breakages to track department, position, and shift details. You can enter breakages for orders that use lab-supplied items and non-lab supplied items. This inventory information is also tracked and reportable. For lab-supplied items, the breakage is posted to Rx-Universe so that appropriate inventory transactions are applied to the order (e.g. decreasing quantity for the lens SKU to reflect the breakage).

Lastly, there is a separate breakage entry page for Lens Breakage and Frame Breakage for easier navigation.

Permissions

Rx-Suite provides you with an exceptional level of control over user permissions. With our platform, you can easily grant users full or read-only access to specific features within the Workstations module. Moreover, we offer the flexibility to create custom roles with pre-defined permissions, allowing you to assign appropriate access rights to different users efficiently.

The relevant permissions for Lens Pick functionality can be set up in Rx-Hub → Roles → (Specific Role) → Rx-Xplore.

  • In Rx-Hub, edit the role of the user you want to grant access to.

  • Grant the role “Use” permissions for Workstation Breakages, Beakage: Lens, Breakage: Frame Item in the Rx-Xplore permissions tab. Make sure you click on the “Update Role” button to save the settings. Learn more about setting up roles.

Required Setup and Configuration

In Rx-Universe

  • Set up breakage codes.

    •  Create breakage codes for reason (required) and subcodes (optional) department, positions, and shift under Setup -> Breakage Codes.

  • Set up the flag for Breakage Sub Codes.

    • You can set up your Rx-Universe to track breakage sub-codes. There are three flags that you can select to set breakage-tracking behaviors.

Entering a Breakage / Reverse Breakage for Lenses or Frame Items

 Instructions

 

To enter a lens or a frame item breakage to an order, follow these steps:

  1. Take note of the order number of the job you want to enter breakage.

  2. Open Rx-Workstations modules.

  3. On the side navigation, select the Breakage Enter (Trash Icon) → Breakage: Lens option or Breakage: Lens.

 

  1. Search for the order you want to enter Breakge by entering the order number in the text field and clicking on Submit.

  2. The order number, tray number, job type, account number, patient, and status of the order should display. If the order does not have information on any of these fields in Rx-Universe, it will show blank text for that field.

Entering a Breakage


  • Select Enter A Breakage tab.

  • Select the information needed for the breakage record.

Note: If a breakage sub-code is not required, you will only need to enter the eye and reason details, otherwise, you will need to also enter the department, shift and position information.

 

 

Entering valid breakage record details will return success notifications on the bottom left.

Reversing a Breakage


If there is an existing frame or lens breakage for the order, the Reverse Breakage option would be available (the Reverse Breakage tab is enabled).

  • Select Enter A Breakage tab.

  • In the Reversible Breakages table, you will see the list of breakage that you can reverse for the order.

  • Select the Reverse button.

  • Select the OK button on the confirmation dialogue to complete the reversal.

Entering valid breakage record details will return success notifications on the bottom left.
