Introduction

These reports get created to view on the WEB. It allows intranet access to compiled sales, accounting, and lens data from the Optifacts server.

Procedure

From the Optifacts Main Menu:

Select Option 5 – Report Generator and press Enter.

Select Option 10 – Custom Reports Menu and press Enter.

Select Option 2 - AR HTML Menu and press Enter. (Menu number may vary on each system)

Editor: Date Configuration

  • Press “Q” to query and Escape to view the default entry.
  • You can choose what accounts you want to include and how many companies you want to include in each report.
    • Press “U” to update the existing data (accounts – month-end dates etc.).
    • Press Escape to save the entries.

Once a year, you need to edit the ending dates of each month and how many working days your company has for each month.

Editor: Daily Close Procedure

  • Press “Q” for query and Escape key to view the default entry.
  • You need to enter a month, closing date, and the number of working days for that month.
    • Press “U” to update the existing data.
    • Press Escape to save the entries.

You can change this daily to get the most accurate counts or just put the ending date of the month that will show you everything, but a few values might be off.

Program: Consolidation Run

If you change anything in the Date Configuration table or the Daily Close table, you must run the Program Consolidation Run, and the Program HTML build to get a new report.

  • The Program: Consolidation Run will gather all the information for the reports.
  • Nothing gets reported to the screen (unless there is an error).

You must run the Consolidation Run FIRST, then the HTML Build.

Program: HTML Build

  • The HTML Build will create the HTML reports.
  • Nothing gets reported to the screen (unless there is an error).

The most common causes for errors or no page generation are incorrect or missing date configurations or running for a data range with no data.

Once all of the above steps are complete, the directory gets created.

Once you complete an Update for the month, you must go into the Daily Close Procedure and change the dates to the next month. If you do not change the dates to the next month within the Daily Close Procedure, the previous month’s information gets overwritten with zero amounts! 

Viewing the Sales Reports

  • Go to a web browser, and In the web address box, enter YOUR server IP address like  http://192.168.100.10

Your server webpage will display. Below is an example:

  • Click on “Sales Reports” from the menu on the right side of the page
  • Click on the month number with the year to get to the menu.

  • Select your option from the drop-down menus. You may choose a company or all companies, a branch or all branches, or a territory or all territories. NOT ONE OF EACH.

You will be on the Sales Report page.

  • Click one of the other menu choices at the top for a different report. The choices remain at the top of the screen for all reports:

Sales and Gross Margin Reports

Gross Sales:

  • The amount of gross RX and Other sales and Total
  • The 20-day trend
  • Percentage of your total sales for each account
  • The total percentage of the accounts added together

Gross Margin

  • The total of invoice sales minus your costs
  • The 20-day trend
  • Percentage of your total for each account
  • The total percentage of the accounts added together

Credits Issued and Past Due

Credits Issued

  • Total Credits issued
  • 20-day trend
  • Percentage of credits by account
  • The total percentage of the accounts added together

Past Due Amounts

  • 90, 60, 30 days past due
  • Total Due
  • Percentage of the amount due by account
  • The total percentage of the accounts added together

Movers

Three Sections:

  1. Total increase and total decrease
  2. The accounts on the rise
  3. The accounts on the decline

View the Lens Report

  • Go to a web browser, and In the web address box, enter YOUR server IP address like  http://192.168.100.10
  • Click on “Lens Availability” from the menu on the right side of the page.
  • Select your options from the drop-down menus.
