Introduction
This document provides instructions for retrieving and loading lens data from Optifacts
Procedure
From the Optifacts main menu:
Type 3 - Editor Utilities and press enter.
Type 3 - Lens Database Editor and press enter.
Type 5 - Download Data from Optifacts and press enter.
Type 2 - Retrieve Lens Data and Load and press enter.
- Enter the Manufacturer Code to retrieve and press enter.
- Do you want Semi-Finished or Finished lenses (S/F):
- Type S for semi-finished and press enter,
- Or, type F for finished and press enter.
- Enter the style code (without seg size) to retrieve (* for all): and press enter.
- Enter the progressive or aspheric type code to retrieve (* for all): and press enter.
- Enter the material code to retrieve (* for all): and press enter.
- Enter the color code to retrieve (* for all): and press enter.
Note: The style, type, material and color prompts default to * for all, so if the user simply enters through these, the program will include all. Wildcards can also be used with characters entered in the selections. The program supports ( ? ) question mark to match a single character and ( * ) asterisk to match one or more characters.
Example: The example below would load the semi-finished lens data from all mfrs in the SV and FFSV styles, all Aspheric types with type code ASV, all two-character material codes, in all the Polarized Gray colors with intensity 1, 2 and 3.
The process to analyze and load lens types data will run only if progressive or full field styles are added. This step will be skipped if only NA types are added, improving the speed of the update. The program will not delete and replace a lens_types record if it has been customized for the lab (i.e., if the inset_rot_angle has been modified).
After data files are transferred from Optifacts, to your local server, the lens load program starts automatically.
Encountering New Materials and Colors
Since the Easy-lite material code EL was included in the semi-finished download but not in your database, Optifacts will prompt if the material should be added to your database.
If it doesn’t exist you can:
- Add it using the Optifacts default material code.
- Add it using a different material code.
- Not add it at all.
If your database already contains material EL, the prompt to add it will not appear.
If the database already contains the material you specified, you will be prompted to:
- Enter Y to substitute or N to enter a different code.
Answering N will allow you to enter a different material code. Y will substitute your entered code for the default when the SKUs are loaded. Optifacts will do further checking while loading the lenses to match existing material codes in the event the you entered doesn't match lenses already in the database.
In the following example, Optifacts added color DR (with Intensity Required set to “Y”) to the color master table. The DriveWear SKUs will then be loaded as color DR3. Any changes you like to make to the color description, billing categories, etc., can be done through the Color Database Editor.
Once all discrepancies are taken care of the program will insert the lenses and SKUs from the unload file.
Other Prompts
You may be presented with other prompts such as:
Lenses with matching descriptions, but different SKU's.
Lenses with matching SKUs but different descriptions.
If a lens is found in the database with a different SKU you will be prompted to make a decision.
- Entering R will replace the current lens, deleting the existing SKU and description and inserting the new lens in its place.
- Entering A will replace all lenses that have matching descriptions and different SKUs (avoids being prompted for each SKU).
- Entering I causes program to ignore this SKU from the load file, leaving the existing lens as is.
- Entering G causes program to ignore all SKUs from the load file that match descriptions of existing lenses (avoids being prompted for each SKU).
If other differences such as diameter size are found, you will be prompted to make a decision.
- Entering R will replace the current lens, deleting the existing SKU and description and inserting the new lens in its place.
- Entering A will replace all lenses that have matching descriptions and different SKUs (avoids being prompted for each SKU).
- Entering I causes program to ignore this SKU from the load file, leaving the existing lens as is.
- Entering G causes program to ignore all SKUs from the load file that match descriptions of existing lenses (avoids being prompted for each SKU).
