Introduction

Data Definitions and Triggers offer the flexibility of storing and printing additional information.

The following procedure provides instructions for automating a process to prompt for required information at various stages of a job in progress.

Defining job data collection fields is a two-step process:

  1. Setting up the data collection fields (the information for which you get prompted);
  2. Defining the triggers that generate the prompts.

Before you begin, you MUST have already completed the procedure as outlined in the Defining Job Data Definitions document.

If the prompt for required information is associated with a lite-up, you must:

  • Ensure that the lite-up exists, and if not, then set it up.
  • Be aware of the num and bit associated with the lite-up.

You will be required to enter this information during the process. Instructions for retrieving these numbers are outlined later in this document.

Procedure

Job Data Trigger Setup

From the Optifacts main menu:

Select Option 3 – Editor Utilities and press Enter.

Select Option 6 – Configuration Editor and press Enter.

Select Option 8– Edit Job Data Triggers and press Enter.

Field Definitions

Field NameDefinitions
Account Number

Type the entry to identify whether all or a specific account is to prompt for required information as per the following guideline:

  • Blank - impacts all accounts in the database.
  • Specific account number - impacts only that single account.
Ship to Code

For accounts that have multiple ship-to locations, use this field to specify the appropriate location.

Lite-up (num)

If the required information to be prompted is associated with a lite-up, type the num and press enter.

Lite-up (bit)

If the required information to be prompted is associated with a lite-up, type the bit and press enter.

Lite-up On/Off
  • Type Y to designate that the lite-up must be enabled to cause the trigger to occur.
  • Type N if off or no lite-up specified
Account SegmentType the Account Segment name or number and press enter.
Acct Sub SegmentType the Account Sub-Segment name or number and press enter.
Sales GroupType the Sales Group name or number and press enter.
Buying GroupType the Buying Group name or number and press enter.
Chain GroupType the Chain Group name or number and press enter.
Business TypeType the Business Type name or number and press enter.
Field NameType the field name as defined in the Job Data Definition Editor and press enter.
Default Value

Type the default field value and press enter. (Optional)

Example:

Field Name:        [SPECIFY BLOCK R     ]
Default Value:     [00.0                                  ]

  • Press Escape to save the data.
  • Press "E" to Exit.

Retrieving the num and bit for a lite-up option.

From the Optifacts main menu:

Select Option 11 – Retail Transfer and press Enter.

Select Option 14 - Report: Price Options Available and press Enter.

  • Press “S” to view the report on screen.
  • Or, press “P” to print the report and press Enter.

The first number is the num, and the second number is the bit.

  • Press "E" to exit and return to the Retail Transfer menu.

The following are just a few examples of what is available for Job Data Definitions and Triggers. Please contact your system administrator or support if you require assistance.
