Introduction

This document provides instructions for loading and updating the lens cost file.

Lens costs allow you to print inventory valuation reports, produce accurate invoice matching reports for EOE, and breakage from inventory reports showing the cost of lenses broken. Access this feature from the “Editor Utilities” menu option of the Inventory Main Menu.

Procedure

Some lens vendors can provide you with your lens costs in an excel, .csv, or .txt file. Optifacts staff can help you load these costs quickly and easily. Contact your respective lens representative to see if lens costs are available for you.

Adding lens costs to the system is similar to marking lenses as Stocked/Non-Stocked and marking Bin Locations. You may search for lens products based on any of the lens characteristics, including manufacturer, diameter range, base curve range, add power range, lens style, seg size, lens type, thickness range, and lens color. Any lenses with SKUs that match your search display on the screen, showing you the current values for being stocked and the new value you set in the stocked field. When prompted for a lens cost, key in the pair price and the Optifacts program automatically splits this and assigns the price per SKU. If your search has more matches than can appear on the screen at one time, the screen clears, and the next matches appear after you have accepted the changes to the screen. If you answer “No” to any display, all previous screens WON’T change, and your cursor returns to the search form.

Manually Adding Lens Costs

From the Optifacts main menu:

  • Select Option 9 - Inventory and press Enter.
  • Select Option 1 – Editor Utilities and press Enter.
  • Select Option 4 – Lens Cost Changes and press Enter.

The Cost Change Editor displays.

  • Enter all lens details, pressing Enter after each field to display the specified product. Be as specific as possible. You won’t be able to proceed if the information entered is not correct.

Example: Style SVST, you must enter type NA or style FFSVST, you must enter the applicable Type Code in the lens type field, or it won’t proceed.

The following example shows an entry for a range of lenses.

Are these okay (Y/N)?

  • Enter “Y” – Yes to apply the cost.
  • Enter “N” – No to return to the screen.
  • If you want to price bases 0-4 differently than bases 5-8, then you have to enter those costs separately by being base specific on this screen.
  • It is helpful to search for the lenses using menu options 9-1-3 Lens SKU Assignment before you begin so that you know the lens availability and specifications before going into the lens cost change screen.
  • The cost that you enter here is per pair.  The system cuts the price in half when applying the price per lens.
  • Press Escape to exit the screen and return to the Optifacts Lens Inventory Editor Utilities Menu.
