Introduction

This document provides instructions to search for, add to, change, or delete a work file.

Procedure

While at the Work File Menu, you can also add lenses to your order, edit lenses for ordering, and remove lenses from the work file. You can scan SKUs and add lenses, or you may enter lens descriptions and have Optifacts search for the SKU to add.

Editing the work file is done through an Informix Perform screen. The commands for Informix Perform screens are at the end of this manual. You can update the quantity and the tray number associated with the SKU on this screen. You may also remove entries. Adding entries to the work file is not done through this screen. You may add lenses to the work file in several ways. The simplest way would be to scan a barcode each time for every lens you want to order. This method is “Fast Entering,” menu option 4 on the menu. If you need to order 20 lenses, you need to scan the SKU twenty times. If you enter an SKU that does not exist on your inventory system, a report printed lists these when you exit this routine. You then need to determine if the non-existent SKU entered was correct or if you need to add this SKU to your inventory system.

Fast Enter SKUs to write to a temporary file

From the Optifacts main menu:

Select Option 9 - Inventory and press Enter.

Select Option 4 - EOE Procedures and press Enter.

Select Option 1 - Add to or edit the SKU work file

Select Option 4 - Fast Enter SKUs to write to a temporary file.

The Fast Entry screen displays.

If you have package tops that you would like to scan for order, you may run the “Fast enter SKUs to temporary file” routine. This function allows you to scan each SKU that you would like to order quickly.

  • Scan all the bar codes that you need to order.

  • Press escape to exit.

When finished scanning, press the Escape key to exit and save this file. Next, choose menu option 5 to add the lenses in the temporary file to the work file. Option 5 notifies you if the temporary file exists.

Select Option 5 – Add SKUs in Temporary File to Work File and press E Selecting this option moves the temporary file to the Work file.

You may also enter SKUs manually or by bar code using the following directions.

Add Lenses to the Work File by Description

Adding lenses to the work file by description allows you to search for SKU based on lens criteria. This feature comes in handy if you know what you need to order, who makes it but don’t know the SKU for the item. Search for the SKU and enter the quantity to order.

Select Option 3 – Add Lenses by Description (searches for SKU) and press Enter.

The Add by Description to Work File screen is displayed.

  • Enter all the applicable information pressing Enter past each field.

The system searches for the SKU number, and if found, it displays it on screen.

  • Enter the quantity.
  • Enter a tray number (optional.)

The item gets added to the work file.

  • Press any key to add more items or press Escape to exit.

Add Lenses to the Work File by SKU #

Another method involving the SKU code is “Adding Lenses by SKU.” You simply scan or enter the SKU code and tell the system how many to order. This method is much quicker than “Adding Lenses by Description,” which has to search for the SKU from the lens description you’ve entered, but does require that you can identify the SKU for the lens you need to order.

Select Option 1 - Add to or Edit the SKU Work File and press Enter.

Select Option 2 – Add Lenses by SKU (searches for description) and press Enter.

The Add by SKU to Work File screen gets displayed.

  • Enter or scan the SKU number to add.
  • Enter the quantity.
  • Enter the Tray No. reference (optional.).

The item gets added to the work file.

  • Continue to add more items or press Escape to exit and return to the Add/Edit Work File menu.

Edit the Work File

From the Add/Edit Work File menu:

Select Option 1 – Edit the Work File (search, change, delete, and other options) and press Enter.

The EOE Work File table is displayed.

  • Press “Q” and Escape to query the EOE Work File table.

The available work file (s) display. Use the “N” Next and “P” Previous keys to navigate through to find the applicable file.

  • Enter “U” to update.
  • Make all the necessary changes in the fields provided.
  • Press Escape, to save the data.

A message displays at the bottom of the screen to indicate that the row has changed.

  • Press “E” to exit and return to the Add/Edit Work File menu.

Delete Work File

From the Add/Edit Work File menu: 

  • Select Option 1 - Edit the Work File (search, change, delete, and other options) and press E

The following screen displays:

  • Press “Q” and press Escape to query the EOE Header table. (Manufacturer to order from Master section)

The available work file(s) displays.

  • Use the “N” Next and “P” Previous keys to navigate through to find the applicable file.

If your lab uses multiple warehouses, you may have to enter the applicable Warehouse ID when you query.

  • Once you have found the applicable row, press “R” Remove to delete the row.
  • Enter “Y” to confirm.
  • Enter “N” to return to the form.
  • Press Escape, to save the data.

A message displays at the bottom of the screen confirming the deletion.

  • Press “E” to exit and return to the Add/Edit Work File menu.
