Introduction

This document provides instructions for changing a Company code, Branch code, Territory code or Account code.

Procedure

Log in to the system as user name “change” with password “change”. Authorization is required.

The Change menu displays.

  • Select a number from one of the following options and press Enter.

  1. Create a new change list.

  2. Add to an existing change list.

  3. Print the change list.

  4. Do changes from the change list.

  5. Print saved output from the last change.

A prompt to enter the option for Company, Branch, Territory, or Account displays. Enter one of the following options at the prompt to indicate what needs to be changed. Options for Account, Company, Branch, or Territory are displayed.

  • c – Company

  • b – Branch

  • t – Territory

  • a – Account

A prompt for the account number displays.

  • Type the applicable account number and press Enter.

A prompt to enter the new Company code, Branch code, Territory code, or Account code will display.

  • Type the applicable code and press Enter.

To make further changes, follow the on-screen prompts.

  • To add more changes to an existing change list, select menu option 2.

  • To print a copy of your changes, select menu option 3.

  • To process the changes, select menu option 4.

  • To save the printed output from the last change list, select menu option 5.

Successful changes display on the screen.

If there are any errors, a failure message displays on the screen, as shown in the following example.

  • To exit the screen, select menu option 6.

Example Scenario

Requirements: Twenty new Territory codes and a new Company code must be created. Accounts need to be changed, from their existing Company code to a new Company code, and Territory code. Company code T and Territory code A is used in the following example.

Step 1 – Create a Company code.

  • Select Optifacts menu options 3-1-1

  • Enter the new Company code and the applicable Company information. Respond to the confirmation message at the bottom of the screen. The information can be the same as an existing Company.

Step 2 – Create a Branch code. A Branch code must be added to associate to the new Company code.

  • Select Optifacts menu options 3-1-2

Type the Company code and the new Branch code. Enter the applicable Branch information. Respond to the confirmation shown message at the bottom of the screen. The information can be the same as an existing Branch code.

Step 3 – Select Optifacts menu options 3-1-3. A Territory code must be created to associate with the new Company and Branch code.

  • Enter the new Company and Branch codes. The cursor will move to the Sales Territory code field. Enter the new Territory code and the applicable information. Respond to the confirmation message shown at the bottom of the screen. The information can be the same as an existing Branch code.

  • The cursor will return to the Territory field, where additional codes can be added. Up to 26 Territory codes, from A to Z, can be associated with the new Company code.

Step 4 - Change Menu

  • Use the ‘change’ menu credentials to log in to the system.

  • To create a new change list, select menu option 1.

  • To change the Company type c and press enter.

  • To complete the change, type the account number and press Enter.

  • To return to the menu type 0 and press Enter.

  • To add to an existing change list, select menu option 2.

    • Type t and press Enter to change the Territory,

    • Type the account number and press Enter.

    • Type the Territory code and press Enter.

    • Type 0 and press Enter to return to the menu.

  • To print or view the change list, select menu option 3, and enter either a lower-case s or p. 

 A list of changes will print or can be viewed on the screen, depending on the selected option.

  • To return to the menu, type “:q” (colon q), and press Enter.

  • Select menu option 4 to perform the changes from the list, and view results on the screen.

  • Press Enter to return to the Change menu options.

To confirm the results, return to Optifacts and view the account.

  • Select Optifacts menu options 3-1-5

  • Enter the Company, Branch, and Territory

  • Type the Account number, the Ship-to code, and press Enter.

The account number is associated with the new codes, and the existing ship-to code remained associated with the account.
