Pricing Overview.

Pricing in RxUniverse is based on "groups" - groups of materials, groups of lens styles, groups of addons.  This allows prices to be set up for all 167-index materials, for example, as a group, eliminating the need to individually price them.  Similarly, progressives can be grouped and priced as a group, eliminating the need to price each progressive design individually.  Multiple price lists may be created.  On any order, if a pricing error occurs due to lack of prices for the lens, change the pricelist code to "000".  This pricelist override allows the lab to enter prices manually.  

 

Step 1 - Creating a pricelst code

From the Main RxUniverse screen, select "Pricing" and click on "Price Lists".  Click the "ADD" button.  The following screen will be displayed:

  1.  Type in a pricelist code such as "RX1".
  2. Enter a description for the pricelist such as "MAIN PRICELIST"
  3. Select the "Price list type".  if the pricelist does not contain any edging charges and will be used only for uncut jobs, select "Uncut only".  Otherwise, choose "Cut/Uncut".
      
  4. Comments may be added.  The comments will not print on invoices.

Step 3 - Material Groups

 From the Main RxUniverse screen, select "Pricing" and click on "Material Groups".  Click the "ADD" button.  Any material that is the same price can be grouped together.  The following screen will be displayed:

When creating a material group for plastic CR39, also add material "T" for Transitions.  The extra cost of the transition coating will be covered by addons which is explained in another step.  
  2. Type in a description.
  3. The sequence number defaults to "99" which means the material will appear in the pricelist in alphanumeric order.  To have the CR39 material appear in the first column of the pricelist, enter "1" in the Sequence field.  Materials will appear in the sequence order entered on the above screen.  When entering the prices, having the materials in the same order as they appear on the customer's copy of your pricelist makes it much easier to enter.
  4. Highlight the appropriate material in the left hand column and use the ">" to add the material to the right hand column.  To remove the material, highlight the material in the right hand column and use the "<" to return it to the left hand column.

  5. Save the record.
  6. Click the add button and repeat the above but enter the material group as 1.67.  Type in a description and enter the sequence number as "2".  If material 1.60 is the same price as the 1.67, the materials can be added to the 1.67 and the "Description" would read something like "High Index Plastic".

  10. For progressive lenses, leave the sequence number to it's default of "99" if they are not in groups.  This will list the lenses in alphanumeric order and make it easier to find when create the pricelist.

Step 5 - Addon Groups

  There are 2 types of addons; manual and automatic.  Manual addons consist of tints and AR coatings applied to the lenses by the lab.  Manual addons also includes things such as replacing hinges on a frame, warranty charges, polish and roll edges and other services.  Automatic addons include tints and treatments already applied to the lens such as Transition or polarized coatings.  Automatic addons also include prism and frame type charges and many others.  A complete list of automatic addons is shown further in this document.

Manual Addons

  1.  From the Main RxUniverse screen, select "Setup" and click on "Addon Codes".
  2. Click the "ADD" button.  The following screen will appear:

  3. Type in an "Addon Code".  The lab may use any code they wish for manual addons.  For example, polish could be used as a code for a polish edges price.
  4. Enter a description for the code.
  5. Below the "Description" label checkmark the "Allow Modifications on Order Screen" if when entering a job in Customer Service, the price of the item can be modified.  Leave unchecked if no changes to the price should be allowed.
  6. Checkmark the next box "Allow Changes in Quantity on Order Screen" should be allowed in Customer Service.  Otherwise, leave it unchecked.
  7. By default, "Allow Addon with $0.00 Price on Order Screen" is checked.  It's better to always leave this checked as even if the price of an item is $0.00 if will still appear on the invoice.

Price lists
Price list are contained in a separate database to make verification with the various programs that use the pricelist easier. The price list database browse screen will give the user a method of maintaining the "Price Lists" and allow the user to enter the Price List details maintenance via the "Pricing summary" box.

Double clicking on one of the PriceLists codes or pressing the "Add" or "Edit" buttons at the top of the screen will take the user to the Price List maintenance screen where the user can change modify the basic Pricelist information.
The "Pricing Summary" box displays a summary of the price list detail records. The "Rx Prices" entry is always the first entry in the summary box while any addon pricing information is located under the green headings line.
A popup menu is available within the "Pricelist Summary" grid by pressing the right mouse button while the cursor is within the grid. The available menu options are:

  • Add addon pricing – which allows you to add a new addon price to the pricelist
  • Delete addon pricing – will delete the selected addon price grouping from the pricelist
  • Copy price list – This function allows the user to copy the selected complete pricelist contents to another pricelist. Note that the "copy to" pricelist must be a completely new pricelist.

Double clicking on one the items in the pricelist summary will popup one of the pricelist details maintenance screens. This will allow price list details maintenance as follows.

  • Pair and lens pricing is the same as for "Rx pricing".
  • "Price per order" will apply the price to the order regardless of the number of lenses used.
  • "Order discount" will apply a discount based on the percentage entered in the grid to all discountable addons that appear above this addon within the addon list, and also to the discountable lenses, frames, temple, side shields and misc prices on the order.
  • "Order reduction" will apply a discount based on the percentage entered in the grid to the discountable lenses, frames, temple, side shields and misc prices on the order but not discount any addon entries.

The lab can select if the addon is taxable, or if the addon is set as "Net pricing" which makes it non-discountable. The addon group that the autohas an added style entry for "Base All" that will allow for the setting of a base price for all lens styles.
An "item Discount" allows the lab to set a promotional price discount for the material/lens style combination. The "Item Discounts" are displayed in their own bucket on the order screen "Pricing tab".
When an addon price is set to an "Auto Code" and not "Manual- Addon", it's placement within the addon list can be controlled. The "Keep Addon Separate" checkbox, determines if the addon price will be rolled into the lens price during the order pricing routine. The "Print auto-addon if zero" checkbox when checked will display the addon code in the addon list even if its price is zero.

Invoices can be printed or e-mailed from the Customer Service screen by right clicking on the order and selecting the appropriate option.  An invoice can also be viewed by right clicking on the order and selecting "View", and then "View Invoice".  The invoice will be displayed in Adobe Reader where it could also be printed, saved to a file, etc.

Under System Settings, "Invoice" tab, the user can set options as to when to print the invoice and what to print on it.

The user will need to set the "Rx Order Invoice Device Name" on the "Orders1" tab.

  4. Comments may be added.  The comments will not print on invoices.
  5. Save the pricelist.


Step 2 - Setting up the customers

From the Main RxUniverse screen, select "Orders" and click on "Customers".  Click the "ADD" button.  The following screen will be displayed:

  3. On the right hand side of the screen, choose a default job type.
  4. At the top of the screen, select the "Pricing Tab".
  5.  In the Rx and Uncut, enter the pricelist code created in Step 1.
  6. Save the record.



Step 3 - Material Groups

 From the Main RxUniverse screen, select "Pricing" and click on "Material Groups".  Click the "ADD" button.  Any material that is the same price can be grouped together.  A screen similar to the one below will be displayed:

  7. Click the Add button to continue creating material groups until the left hand column is blank.

Once all the material groups have been created, they will appear in the pricelist file in the sequence specified as shown below.  To access this screen, click on the pricing tab.  Select Price Lists.  Highlight the pricelist number and double click on the yellow Rx Prices.

Step 4 - Lens Style Groups

From the Main RxUniverse screen, select "Pricing" and click on "Lens Style Groups".  Click the "ADD" button.  Any lenses that are the same price can be grouped together.  Only lenses that have been set to active in the lens style database will appear in the available column on the left hand side of the screen.  Polarized lens style codes are added to the clear lens groups.  The extra cost of the polarized coating will be added as an automatic addon which is explained furthur in this document.  A screen similar to the one below will be displayed:

  3. As with the material groups, the sequence number defaults to "99".  Enter a different sequence to have the lenses appear in the sequence entered above or leave as "99" which will list the lens styles in alphanumeric order.
  4. Highlight the appropriate lens style in the left hand column and use the ">" to add the lens style to the right hand column.  To remove the lens style, highlight the lens style in the right hand column and use the "<" to return it to the left hand column.

  6. Click the "ADD" button and repeat the above but enter something like "FT" for flat top lenses in the Lens Style Group.
  7. Type in a description.
  8. Enter the sequence number or leave it as 99.
  9. Select the lenses as shown below.  The ST25 and ST28 are the same price and added to the same group.

       10.  Save the record. Click the Add button to continue creating lens style groups until the left hand column is blank.

11. You can also copy a lens group to a new group.  Select the group you want to copy and press the "1" button,  a screen will appear asking for the new lens group.  Pressing the continue button will copy all pricing information from the selected group to the new group.

Once all the lens style groups have been created, they will appear in the pricelist file in the sequence specified as shown below.  To access this screen, click on the pricing tab.  Select Price Lists.  Highlight the pricelist number and double click on the yellow Rx Prices.

Entering clear lens prices

The prices entered will be for clear lenses only.  Transition or polarized charges are entered as an additional cost using the pretreatment addon groups which is explained further in this document.

  1.  In the example above, the first lens shown in the left hand column is the Image lens.  Type in a price under CR39 and hit the <Enter> key on your keyboard.  For this example, an $80.00 price will be entered.
  2. Double click the newly entered price.
  3. The following screen will appear:

  1.  The left hand side of the screen displays the pricing mode.  Price per Pair is the default.  Click on the Price per Lens to change the pricing mode.  
  2. Checkmark the box next to Lenses Taxable if the lenses are taxable.
  3. Lenses Always Net is only checkmark if the lenses will never be discountable.  RxUniverse will then exclude this item when calculating a monthly discount.
  4. Enter a discount percentage if a discount should be applied to the lens price.  For example, if a promotion is being offered to the customers that the Image Cr39 lens will be 10% less for a certain time period, enter 10.00 in this field.  It will only apply to this lens/material combination.
  5. The right hand side of the screen handles the over power charges.  A finished lens price can also be entered which mostly applies to single vision lenses as progressives are not available as a finished product.
  6. To enter an over power charge, double click on the sphere power which is currently showing 99.99.  The following screen will appear:

Note:  if the overpower charges are the same for all lenses in this pricelist, the mass maintenance button can be used after all the clear lens prices have been entered.  The mass maintenance will add the overpower charges to all lenses that have a price.

1.  Enter a sphere power such as 4.00.  RxUniverse will add an additional charge for any sphere power on a job of 4.00 diopters or higher.

2.  Enter a cylinder power such as 3.00.  RxUniverse will add an additional charge for any cylinder power on a job of 3.00 diopters or higher.

3.  The Lens Diameter should be left as 99.

4,  The Semi-Finished Price will be the same as was entered on the previous screen.

5.    Enter a finished price if applicable.

6.  Click on the Accept button.  Click the Yes button to save your changes to the grid.  

7,  Type in a price in the Sphere/Diopter $ box .  For example, if 2.00 is entered in this field, RxUniverse will add an additional $2.00 to the job if the sphere power is 4.00.  For each sphere power over 4.00, Rxuniverse will add an additional $2.00.

8.  Type in a price in the Cylinder/Diopter $ box.  For example, if 2.00 is entered in this field, RxUniverse will add an additional $2.00 to the job if the cylinder power is 3.00.  For each cylinder power over 3.00, Rxuniverse will add an additional $2.00.

Continue to enter the prices for all lenses in all materials availble for that lens.  Use the tab key to advance to the next material or the down arrow on your keyboard to access the next lens style in the same material.

Save your changes.  


Step 5 - Manual Addon Groups

 Manual addon groups require 2 different steps to create.  The first is creating the addon codes.   Manual addons consist of tints and AR coatings applied to the lenses by the lab.  Manual addons also includes things such as replacing hinges on a frame, warranty charges, polish and roll edges and other services. 

Manual Addons Codes

  1.  From the Main RxUniverse screen, select "Setup" and click on "Addon Codes".  There are 3 tabs on the addon codes screen:  General, Job Flow and Overrides.
  2. Click the "ADD" button. The following screen will be displayed:
    General tab

  3. Type in an "Addon Code".  The lab may use any code they wish for manual addons.  For example, "POLISH" could be used as a code for a polish edge price.
  4. Enter a description for the code.
  5. Below the "Description" label checkmark the "Allow Modifications on Order Screen" if when entering a job in Customer Service, the price of the item can be modified.  Leave unchecked if no changes to the price should be allowed.
  6. Checkmark the next box "Allow Changes in Quantity on Order Screen" should be allowed in Customer Service.  Otherwise, leave it unchecked.

  8. "Exclude code from Rx-Site" only applies to labs using Rx-Site.  For more information on Rx-Site, please refer to the Rx-Site document.  
  9. "Optional EPRESS Value" is used if the addon code has a specific EPRESS value that should be sent to the devices.  Otherwise, leave the field blank. "EPRESS" is how much pressure is used on the edging wheel.
  10.  "Optional CLAMP Value" is used if the addon code has a specific CLAMP value that should be sent to the devices.  Otherwise, leave the field blank.  "CLAMP" sets how much pressure is used on an edger when clamping a lens.
  11. Should the addon require extra processing days, enter the number of days in the "Additional Processing Days".  The number of days specified will be added to the date wanted field when entering a job using this addon.
  12. The "Price Group" field can not be edited.  RxUniverse keeps track of which addon group the addon is associated with. Creating addon groups is discussed further in this document.  Once the group is created, this field will be updated automatically.

    Job Flow tab
  13. Click on the "Job Flow" tab at the top of the screen.  Only used if the lab is using job tracker and job flow.  
  14. If job flow is used by the lab, services may be checked to prevent shipping the job unless the service has been done.  In the screen below, "Polish" is checked.  If the addon was an anti reflective coating, then "AR Coating" would be checked.

    Overrides tab
  15. Click on the "Overrides " tab at the top of the screen.  The following screen will be displayed:

  16. If a specific value is required by a device for a VCA Label for this addon, enter the value on this screen.  The "Addiotional Document Overrides" button on the screen is used if documents have been created by the lab for this addon to be printed.  Return to the "General" tab.
  17. Click on the save button to save the new manual addon which may appear as below if using the example "POLISH" and changes are allowed in Customer Service.

18. Repeat the steps above to create a record for all manual addons.

Manual Addon Groups

  1.  From the Main RxUniverse screen, click on the "Pricing" tab.
  2. Select "Addon Groups".
  3. Click the "Add" button.
  4. All manual addons created in the previous steps will appear.  A screen similar to the one below will be displayed.

  5. If the price of the addons is the same, they can be grouped together.  For example, all frame repairs can be set in one group as shown below.  Use the arrows to add or remove items or double click the item on the left hand side.

  6. Save your changes and continue to create addon groups until there are no longer any items on the left hand side of the screen.

Pricing Manual Addons

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  1.  Use the drop down list next to the Addon Group to find the manual addon.  
  2. Select a Prising Mode.
  3. Click the box next to the Addon taxable is applicable.
  4. If the addon is not discountable such as a shipping charge, check the box next to the Addon Always Net.
  5. Enter an item discount if applicable.

In the following example, a charge for Polish will be created.  Since the polish charge is the same for all lens/material combinations, the price is entered in the Base field.  If the charges are different, enter the price in the appropriate boxes.

You can modify the addon flags for a specific cell if desired.  For instance, you are running a promotion where you want to offer a 15% discount on CR39 ST28 lenses.  First you need to enter a price in that cell similar to below:

Now double click on the cell to pop-up the Addon Flags maintenance screen.

This screen will show the main screen settings for the fields when first accessed.  Now change the Item discount  to 15% and press the save button.  When you return to the pricing grid, note that the cell for CR39/ST28 is now displayed in red.  This indicates that the cells addon flags differ from the main default flags.

Save your changes and follow the steps above to create manual addons until all addons have been priced.


Step 6- Automatic Addon Groups

Automatic addons allow you to specify the "Kind of Lens" that the pricing is applied to.  Select "Semi-Finished", "Finished" or "Both".  

Automatic addons will be added to the order automatically unlike manual addons which have to be selected when entering a job.  Special codes are required for automatic addons.  Below is a list of automatic addon codes available in RxUniverse.  Detailed instructions on how to create each addon will be shown after the list of special codes. 
AA - The always add will be charged on every order.  This addon may be used for such items as shipping or handling fees.  
CA - The customer addon is used for pricing items by customer.  For example, if a shipping charge is different for various customers, this code would be utilized instead of the "AA" addon code.  May also be used for customer discounts.  
EC - Edging charges.
HB - Charges for high base curves.
LB - Charges for low base curves.
OB - Oversized blank charges
OF - Oversized frame charges
PM - Charges for prism thinning
PR - Charges for Rx prism
PT - Lens pretreatment cost such as Transition or polarized lenses.
SA - Segment add charges.
SF - Prices for different types of frames.
SN - Costs for manual thicknesses
SO - Slab off charges
ST - Special thickness code costs
SW - Prices for different segment widths
TN - Tint color costs such as grey or brown

AA - Always ADD

  1. From the Main RxUniverse screen, select "Setup" and click on "Addon Codes".  There are 3 tabs on the addon codes screen:  General, Job Flow and Overrides.
  2. Click the "ADD" button. The following screen will be displayed.  This is the same screen used by manual addons.  The "Job Flow" and "Overrides" tabs work the same as with the manual addons.

  3.  Type in an "Addon code" and a "Description".  In the example below, a shipping addon will be created.

  5. From the Main RxUniverse screen, select the "Pricing" tab.
  6. Go to "Addon Groups"
  7. Choose the "Add" button to create a new record.
  8. Type in an "Addon Group" name and "Description"
  9. Select the newly created addon code which in this example is "SHIP" as shown in the screen below:

Pricing the AA Addon

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing
  5. The following screen will appear:

  1. Change the Auto Code from Manual Addon to AA - Always ADD.
  2. Change the Addon Group to SHIP to create a shipping charge that will added to all jobs.
  3. Set the pricing mode.  Shipping charges are usually set to Price Per Order.
  4. Type in a price for the addon.  In this example, a $5.00 charge will be added to each order for shipping.

CA - Customer Addon

  1. From the Main screen in RxUniverse, select the "Setup" tab followed by "Addon codes".
  2. Click the "Add" button.
  3. In the example below, a discount will be created for a specific customer.  The discount will be calculated on each job using the account number.  Type in "DISC" in the "Addon Code" and enter a "Description" as shown in the example below:

  4. Save the record and return to the Main RxUniverse screen.
  5. Click on the "Pricing" tab and select "Addon Groups".
  6. Click the "Add" button and create type in a "Addon Group" and "Description" similar to the example below.  Transfer the Addon code from the "Available Addons" to the "Included Addons".

  7. Save the record and exit to the main RxUniverse screen.
  8. Select the "Orders" tab followed by "Customers".
  9. Highlight the customer who is to receive the discount and click on the "Edit" button.
  10. Choose the "Pricing' tab.
  11. In the "Pricing Codes" field, type in the addon code created in step 3 above as shown in the example below..  Up to 30 customer addon codes may be added for each customer.  Customer addon codes may be used by multiple customers.

12.  Save your changes.

Pricing CA Addons

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  1.  Change the Auto Code from Manual Addon to CA - Customer Addon
  2.  Change the Addon group to DISC10 created in the steps above.  
  3. Chose the Kind of lens the discount applies to
  4. Since this is a discount, change the Pricing Mode to Order Discount.
  5. Type in 10.00 in the Base field to create a 10% discount as shown below:

EC - Edging Charges

Edging charges do not require the creation of an addon or addon group.  The edging charges will automatically be added to any job in customer service where the job type is "Full Job".  To create this item:

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

 Change the Auto Code field from Manual Addon to EC Edging by using the drop down box.  The screen will change slightly with the Addon Group field show above changing to Pricing Description and additional fields on the right side of the screen as shown below

If the edging charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

OB - Oversized blanks

Oversized blank charges do not require the creation of an addon or addon group.  The charges will automatically be added to any job where the blank selected fits in the range of oversized blank charges.  To create this item:

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

   The next step is to create another record using the same method for the next pricing breakpoint.  If all blanks over 72 mm are charged a flat fee, enter the Pricing breakpoint as 99.99.  If blanks from 73 to 76 are one price and blanks over 76 are another price, a third record will be required with a breakpoint of 73. Save your changes.

The next step is to create another record using the same method for the next pricing breakpoint.  If all frames with an A measurement of 50 or more are charged a flat fee, enter the Pricing breakpoint as 99.99.  If frames from 50 to 53 are one price and frames over 53 are another price, a third record will be required with a breakpoint of 50. Save your changes.

PM - Prism Thinning

Charges for this addon as based on whether prisim thinning was calculated on a job.  

  1.  From the main menu of RxUniverse, click on Setup.
  2. Select System Settings.
  3. Click on the SURF1 tab.  Take note of the value in the Thinning reduction field.
  4. Go back to the main menu and select Pricing.
  5. Click on the newly created price list on the left hand side.
  6. Right click the Addon Type and choose Add Addon Pricing.
  7. Change the Auto Code field from Manual Addon to PM prism thinning.
  8. Type in the value of the thinning reduction field that was stored in the System settings.
  9. Type in a Pricing description
  10. Chose the Kind of Lens the pricing applies to
  11. Choose a pricing mode.  
  12. Checkmark Addon Taxable is applicable.
  13. Select Keep Addon Separate if the item should appear separately on the invoice.  
  14. The Print Auto-Addon if Zero only applies if there is no charge for this addon but the item should appear on the invoice.   
  15. Select a position for the thinning charge.  The position selected will dictate in what order the addon will appear on the invoice.
  16. If the thinning charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

PR - PRISM

Prism charges do not require the creation of an addon or addon group.  The charges will automatically be added to any job when Rx prism is added .  To create this item:

  1. From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  2.  Type in a Pricing Breakpoint.  The first pricing breakpoint will be the one with no charge. For example, if there is no charge for prism under 3.0 diopters, type in 2.75 as the pricing breakpoint.

If the prism charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

If each diopter has a different price created the additional records using the steps above finishing with a record with a pricing breakpoint of 99.99.  


PT - Lens Pretreatment

This automatic addon will appear on the job when the pretreament set up in the addon codes and addon groups matches the pretreatment on the lenses selected.

This first example will be to set up addons for Transition pricing.

  1. From the Main screen in RxUniverse, select the "Setup" tab followed by "Addon codes".
  2. Click the "Add" button.
  3. Next to the Addon Code are two buttons.  Select the second one Browse Pretreatment database.
  4. Type in TR7 in the search.  Highlight the record and click on the edit button.
  5. Set the pretreatment to active and save the record.
  6. Double click the pretreatment which will copy it to the addon code record.
  7. Type in a description.
  8. Save the record which should appear as below:
  1.  From the Main screen in RxUniverse, select the Pricing tab.
  2. Choose Addon groups.
  3. Click the Add button.
  4. Any addons not in a group will appear on the left hand side of the screen.
  5. Type in a name for the group such as TRANS.
  6. Enter a description.
  7. Add all addons that should be part of this group.  The screen will appear similiar to the one below.  Save your record and go back to the main menu.

For polarized lenses, repeat the steps above but set PLC, POL, XP, XPU and any other polarized coatings to active and create addons for each one.  In the Addon groups, create a group and call it POLAR or something similar and add all the polarizzed pretreatment codes to the group.

Some pretreatments can be already applied to the lens or added to the lens at the lab.  For example, scratch coatings and anti-reflective coatings will require a set up as both manual and under the automatic addon PT.  Create the addons and the addon groups the same way as transition and polarized. 

Pricing pretreatments

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  1.  Change the Auto Code to PT - Lens Pretreatment.
  2. Change the Addon Group to the TRANS code previously created.
  3. Chose the Kind of Lens the pricing applies to
  4. Set the Pricing Mode usually set to Price per Pair for this addon.
  5. For each lens/material combination, deduct the price of the transition lens from the clear lens and enter the difference in the appropriate boxes.  For example, if the price of a clear SV lens in CR39 is $20.00 and the price of the SV lens in CR39 Transition is $60.00, type in $40.00 in the SV CR39 box.  
  6. Once all transition prices have been entered, save your changes.
  7. For Polarized lenses, repeat the steps above except change the Addon Group to POLAR as previously created in the addon groups.  the

RxUniverse will add the additional charges to any job for a lens with a transition or polarized pretreatment.  Since these can not be added to a lens by a lab, a manual addon for these pretreatments does not have to be created.  For other pretreatments such as SRC, Create the addon records first using the Auto Code PT - Lens Pretreatment.  Save your changes and create a second record but leave the Auto Code as Manual Addon while selecting the same Addon Group used for the PT - Lens pretreatment record.


SA - Segment add

Segment add charges do not require the creation of an addon or addon group.  The charges will automatically be added to any job where the add power of the lens falls in the range created below.  To create this item:

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  4. Choose a pricing mode.  
  5. Checkmark Addon Taxable is applicable.
  6. Select Keep Addon Separate if the item should appear separately on the invoice.  
  7. The Print Auto-Addon if Zero only applies if there is no charge for this addon but the item should appear on the invoice.  For this record, uncheck check this box.  
  8. Select a position for the segment add charge.  The position selected will dictate in what order the addon will appear on the invoice.
  9. If the segment add charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.  

The next step is to create another record using the same method for the next pricing breakpoint.  If all adds over 1.75 are charged a flat fee, enter the Pricing breakpoint as 99.99.  If adds from 2.00 to 2.75 are one price and adds from 3.00 to 3.75 are another price, create records for each breakpoint starting with a breakpoint of 2.00 until the last record is for breakpoint 99.99.


SF - Special frame

This addon covers additional charges for frames such as groove or drill mount.  These charges are in addition to the edging charges.  They do not require the creation of addon codes or addon groups.

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  1.  Type in a Frame type. To view all frame type, click on the button beside this field to browse the frame type database.
  2. Type in a Pricing description
  3. Chose the kind of Lens the pricing applies to
  4. Select the Price per Order under Pricing Mode.
  5. Checkmark Addon Taxable is applicable.
  6. Select Keep Addon Separate if the item should appear separately on the invoice.  
  7. The Print Auto-Addon if Zero only applies if there is no charge for this addon.  
  8. Select a position for the special frame charge.  The position selected will dictate in what order the addon will appear on the invoice.
  9. Type in the amount in the Base box as shown below. Save your record.

SN - Manual Thickness

This addon is used when the edge thickness is manually entered in the customer database screen to override the default edge thickness. They do not require the creation of addon codes or addon groups.


  1.  From the main menu of RxUniverse, click on the Pricing tab.

  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  2.  Type in a Pricing Breakpoint.  The first pricing breakpoint will be the one with no charge. In the example below, $20.00 will be added to each invoice where the thickness on the job is changed from the default to a 1.0 edge thickness.

  9. Select a position for the thickness charge.  The position selected will dictate in what order the addon will appear on the invoice.

If the thickness charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

SO - Slab Off

This addon will automatically price is the job is marked as a slab off.

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

If the slaboff charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

ST - Special Thickness Code

This addon is used to add an additonal cost when a lens blank is extra thick or thin.  It will appear automatically if the blank selected has a code in the thickness field in the inventory database.

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  2. Type in the Code.  In the example below, the addon is for an extra thick lens.
  3. Type in a Pricing Description.
  4. Chose the kind of lens pricing applies to

  6. Checkmark Addon Taxable is applicable.
  7. Select Keep Addon Separate if the item should appear separately on the invoice.  
  8. The Print Auto-Addon if Zero only applies if there is no charge for this addon but the item should appear on the invoice.    
  9. Select a position for the code charge.  The position selected will dictate in what order the addon will appear on the invoice.
  10. If the code charge is the same for all materials and lens styles, type in the amount in the Base box as shown below.  If different prices are required for material/lens style combinations, type in the prices in the appropriate boxes.  Use the tab key to change from field to field..  Once completed, click on the Save button.

SW - Segment Width

This addon is not used as the lens style codes cover the different segment widths.  


TN - Lens Tinting

This automatic addon will appear on the job when the tint set up in the addon codes and addon groups matches the tint on the lenses selected.  Even if there is no cost for the tint such as a Grey 3 on a Transition lens, the records still have to be created in pricing to appear on the invoice.

This first example will be to set up addons for colors on Transition lenses.

  1. From the Main screen in RxUniverse, select the "Setup" tab followed by "Addon codes".
  2. Click the "Add" button.
  3. Next to the Addon Code are two buttons.  Select the first one Browse Tints database.
  4. Type in GY3 in the search.  Highlight the record and click on the edit button.
  5. Set the tint to active and save the record.
  6. Double click the tint which will copy it to the addon code record.
  7. Type in a description.
  8. Save the record which should appear as below.
  9. Repeat the steps above for BN3 (Brown 3), GGN (Graphite Green) and GN3 (Green 3)

Pricing tints

  1.  From the main menu of RxUniverse, click on the Pricing tab.
  2. Select Price Lists.
  3. Click on the newly created price list on the left hand side.
  4. Right click the Addon Type and choose Add Addon Pricing.
  5. The following screen will appear:

  1.  Change the Auto Code to TN - Lens Tinting
  2. Change the Addon Group to TINT.
  3. Chose the Kind of Lens pricing applies to
  4. Select a Pricing Mode which is usually Price per Pair for this addon.
  5. Checkmark the field Print Auto Add if zero to ensure that the tint will appear on the invoice even if there is not cost.
  6. Type in 0.00 in the Base price.
  7. Glass lenses are available with a Grey 3 tint.  These are not transition or polarized lenses.  Type in a price in the glass column if applicable as shown in the example below.

Save your changes.

Tints can also be applied to the lens by the lab so a manual addon will also have to be created for any tint color used.  Repeat the steps above but leave the Auto Code to Manual Addon instead of TN - Lens Tinting.


Manual Pricing

If a job needs to be priced with totally different prices existing in the pricelist, manual pricing can be done on that job.

  1.  From the main RxUniverse screen, select Orders following by Customer Service.
  2. On the job screen click on the Pricing tab.
  3. Change the pricelist number to 000.
  4. Enter the prices for the lenses and any addons.
  5. Save your changes.

The next time you enter a job for that customer, the pricelist number will revert back to the original pricelist number.
