Required Setup and Configurations

  • Ensure Rx-Universe is installed and configured based on your lab’s inventory and workstation preferences. Sample configurations that impact picking are:

    • Rx-Universe → System Setting → Inventory

      • Lens Pick Verify flag

      • Frame Pick Verify flag

      • Frame Parts Pick Verify flag

      • Do frame pick with lens pick flag

      • Frame Inventory Update in Order Entry or Frame Pick

      • Frame Parts Inventory Update in Order Entry or Frame Pick

    • Rx-Universe → System Setting → Job Tracking

      • Job track station verify

    • Rx-Universe → Job Tracking → Job Track Stations

      • Station Job Flow

  • Ensure Rx-Inventory is installed and licensed

  • Ensure Rx-Transfer is running (Rx-Universe API) is installed and licensed

  • Ensure correct permissions are configured

  1. From the Rx-Inventory dashboard, go to the side navigation menu on the left and select the Frame Pick option.

  2. To find the job that you want to perform the pick on, you can enter or scan the order or tray number just enter the existing numberand click on the Lookup button.

  3. Once you hit the lookup Lookup button it should redirect to this page.

Scan OPC

To pick the lens and frame it needs to scan the frames, right and left lens.

  1. Copy the OPC number for right and left lenses and paste it the order information page that has the details on the lens and frame items SKU/OPC, pick status, and other relevant job information.

Select Pick Flags

You have the option to perform lens or frame pick or both on an order. You can do so by checking on the Pick Lenses or Pick Frames flags. Checking both flags (default behavior) will allow you to perform both.

Scan Lens/Frame Items

To perform the pick, you would need to scan/enter the OPC of the lens (for lens pick) and SKU of the frame item (for frame picking).

  1. Copy/manually enter or scan the OPC / UPC number of the right/ left lenses to the Scan OPC then hit scan buttonthe Scan button or key in Enter.

  2. For frame copy the UPC number on the frame table and paste it on the Scan OPC then hit scan button.

  3. After scanning the lenses and frame it will automatically submit the scan button. (see Rx-Universe Inventory Transactions after submitting)

  4. There’s an option to choose what should it pick for lenses and frame. (see screenshots below)

Rx-Universe Inventory Transactions

Now that we’ve scanned the frame and lenses, it’s time to check if the inventory picked was already updated.

Tip

On a successful scan, the yellow icon indicator of the pickable item will change to a green check mark. A Last Scan field will display the OPC/UPC of the last scanned item.

On failed scan, an error message to indicate the failure reason will display.

  1. Once you scanned the items that you picked, you can click on the Submit Scans button to complete the picking process. The scans are submitted automatically if all the required items are scanned.

Note

Important: You can not submit partial picks on both lenses and frames.

Frame Pick Transactions

Completing a lens and/or frame pick will generate respective inventory records. It will also update the Inventory Picked flags on the Rx-Universe Inventory Transaction page.

Rx-Inventory Transactions Records

The created Rx-Inventory transaction is dependent on the configured inventory update settings in Rx-Universe. The transactions will show on the main Transactions page or in the SKU → Transactions tab. Learn more about Rx-Inventory Transactions here.

Note: Only frame pick transactions will show in Rx-Inventory, lens transactions are recorded in Rx-Universe.

When Frame / Parts Inventory is set to update in Order Entry

No additional transaction should be created after the pick is done.

When Frame / Parts Inventory is set to update Frame Pick

A negative adjustment for Allocation and a positive adjustment for In Process should show.

Rx-Universe Inventory Transactions Records and Pick Flag Update

You can view the lens and frame inventory transactions and the inventory pick flags in Rx-Inventory.

To do that, open the Rx-Universe → Orders → Customer Service → Selected Order → View → View Inventory Transactions. You need to right-click the order number you scanned recently and select the View.

After the picks are complete, the respective Inventory Picked flags will be checked.

The Inventory Updated flag and the Transactions will also update. The same rules are followed on the transaction records based on the inventory update settings.
